01The short answer

Email the company name, the people who will be booking, and a rough picture of the travel you expect. We come back with agreed rates and an account reference. From then on a booking needs one line, and settlement moves from the kerb to a single monthly statement.

The reason to bother is not the paperwork. It is that an account removes the small negotiation that otherwise happens at the start of every journey. The booker names a passenger and a time, and the rate is already known, which matters most when somebody is booking four cars at seven in the evening.

What we need to set one up

QA-01What we need to set one up

What we need to set one up

Very little. The registered company name and address, a billing contact, the names or email domains of anyone allowed to book, and an idea of the pattern of travel. Airport runs behave differently from a standing hourly booking, and knowing the mix lets the rates be set properly rather than generically.

If there is a preferred vehicle class, say so at this stage. A firm that always wants an S-Class and a firm that is happy with an E-Class on short runs end up with quite different account rates, and there is no point discovering that on the third invoice.

  • Registered company name and billing address
  • One billing contact and one operational contact
  • The bookers, by name or by email domain
  • Expected pattern: airports, hourly work, long distance, or a mix
  • Any standing vehicle preference or passenger requirement

QA-02How booking changes once the account exists

How booking changes once the account exists

Booking becomes a sentence. Passenger, date, time, from, to, and a reference of your choosing so the journey can be traced back to a project, a client or a person. Nobody hands over a card, and nobody chases a receipt.

It also means the same information travels with every job. If a particular passenger always wants the rear climate set cool and never wants conversation before nine, that sits on the account rather than being explained again to a new chauffeur every fortnight.

QA-03What appears on the statement

What appears on the statement

Each journey is listed with its date, passenger, route, vehicle and reference, followed by any pass-through costs as their own lines. Congestion charges, tolls and airport car park fees are shown at cost against the journey that incurred them rather than aggregated into a mystery total.

Rates are the agreed account rates, and the statement confirms the amount payable and any applicable tax. If a month contains an unusual job, a long distance run with an overnight, for instance, it appears with the same breakdown as everything else.

QA-04Accounts for small teams and single travellers

Accounts for small teams and single travellers

There is no volume threshold. A consultancy of four people who fly out of Heathrow twice a month gets the same arrangement as a larger firm, because the administrative saving is proportionally bigger for them, not smaller.

Private individuals with regular travel can hold an account on the same basis. It suits people who use a car several times a week and would rather see one statement than sixteen separate confirmations, and it makes booking through an assistant considerably simpler.

04Answers

Follow-up questions

The things people ask straight after this one.

Can more than one person book on the same account?

Yes, and most accounts work that way. You nominate the bookers, or simply give us an email domain so anyone at the company can book. Each journey carries whatever reference the booker enters, which is how the statement gets split back out afterwards.

Do account rates differ from ordinary bookings?

They are agreed against the pattern of travel rather than lifted straight off the card, so a company doing regular airport work will usually see something different from the published transfer figures. The agreed rates are confirmed in writing before the first booking.

Can an account cover journeys outside London?

It covers anything we drive, which is the whole of the United Kingdom. Regional work and long distance runs sit on the same account and the same statement, so a Manchester collection and a Mayfair hourly booking do not need two separate arrangements.
